# Configure Trade Dashboard access and quote builder

Control the quote builder's discount, notes, and PO number fields, who can open the Trade Dashboard, and how Confirm Order decides between checkout and draft review.

Control what customers can do while building a quote, who can open the Trade Dashboard, and what happens when a customer confirms a quote.

The **Quote builder** settings control the discount display, the notes field, and the PO number field. **Access** restricts the dashboard to tagged customers. **Confirm Order** behaviour is resolved automatically from the customer's company settings, falling back to Roadmap's own **Use Draft Order** customer metafield.

#### What these settings control

Use these settings to control:

* whether discount amounts and labels appear
* whether customers can add a note on submission
* whether B2B customers see a PO number field, and what it's called
* who can open the dashboard

This page also explains how **Confirm Order** on the **Quotes** tab decides between checkout and draft review.

#### Open Trade Dashboard settings

{% stepper %}
{% step %}

#### Open Trade Dashboard settings

In the Roadmap app, go to **Settings → Trade Settings → Trade Dashboard**
{% endstep %}
{% endstepper %}

{% hint style="info" %}
The **Trade Dashboard** tab's sections run top to bottom: **Header & tabs**, **Display**, **Pre-order & back-order**, **Filters**, **Quote builder**, then **Access**. This guide covers the last two, **Quote builder** and **Access**.

#### Show discount information

Turn on **Show discount information** to display discount amounts and labels on quotes.

This lets customers see what they have saved.

#### Show a notes field

Turn on **Show notes field** to let customers add a note when they submit.

Use **Notes field label** to set the field label.

For example, use `Notes (optional)`.

#### Set up the PO number field

The **PO number** settings let B2B customers record a purchase order number against their quotes:

* **Field title**: your own term for the field, for example `Project Reference`. The title is also used in the quotes list and on the quote PDF.
* **Field placeholder**: the text shown inside the empty box, for example `Reference number`.
* **Show the PO number in the quotes list**: adds the value under the quote number, next to the date, using the field title above.

<figure><img src="https://393112916-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FJ8asLD4FVCFagK40xEr4%2Fuploads%2Fyw3gkUSPwz4a1OgFBymK%2FScreenshot%202026-09-07%20at%203.30.01%E2%80%AFPM.png?alt=media&#x26;token=f41e12e1-7b7c-4c24-a060-db90169406f8" alt=""><figcaption></figcaption></figure>

{% hint style="info" %}
The PO number field only works for customers on B2B accounts (attached to a Shopify company). The label you choose carries through everywhere the value appears, including the [quote PDF](/trade-and-b2b/quote-builder-and-draft-orders/generate-download-and-share-quote-pdfs.md) header and its `{{ quote.poNumber }}` snippet.
{% endhint %}

#### Configure access

Use **Customer eligibility tag** to define who can open the dashboard.

Only customers with that tag can access it.

Leave the field blank to allow all eligible customers.

For example, you might use `trade-approved`.

{% hint style="warning" %}
If you set an eligibility tag and the customer-account preview disappears, the preview is simulating an ineligible customer.

Remove the tag temporarily if you need to preview the block.
{% endhint %}

#### How Confirm Order decides between checkout and draft review

There's nothing to configure in Trade Settings for this: Roadmap resolves what **Confirm Order** does automatically, in this order.

{% stepper %}
{% step %}

#### The company settings come first

If the customer belongs to a Shopify B2B company, the company's checkout settings always apply. Open the company in Shopify, edit its checkout settings, and choose under **Order submission**:

* `Automatically submit orders`: **Confirm Order** sends the customer to Shopify checkout.
* `Submit all orders as drafts for review`: **Confirm Order** submits the quote as a draft for your review.

The company setting wins even if the customer also has the metafield below.
{% endstep %}

{% step %}

#### The Roadmap: Use Draft Order metafield is the fallback

If the customer doesn't belong to a company, Roadmap reads its own **Roadmap: Use Draft Order** customer metafield. This isn't a metafield you create: it ships with the app, and appears in the **Metafields** card on every Shopify customer profile.

* `True`: **Confirm Order** submits the quote as a draft for review.
* `False`, or left blank: **Confirm Order** sends the customer straight to Shopify checkout. A blank value behaves as `False`.
  {% endstep %}
  {% endstepper %}

{% hint style="info" %}
For the company-side options, see [Choosing your B2B company checkout settings](/trade-and-b2b/checkout-and-payment/choosing-your-b2b-company-checkout-settings.md). What happens to submitted drafts next (conversion, review tagging) is governed by [Draft Order automation](/trade-and-b2b/quote-builder-and-draft-orders/automate-roadmap-draft-orders.md).
{% endhint %}

#### Best practice

Choose a customer tag your team already uses consistently.

If you create a new tag for dashboard access, apply it before you test with a real customer account.

Manage order-submission behaviour on the **company** for B2B customers; reserve the **Roadmap: Use Draft Order** metafield (on the Shopify customer profile) for customers who aren't attached to a company.

#### Troubleshooting

<details>

<summary>The dashboard does not appear in preview</summary>

* Check whether **Customer eligibility tag** is set.
* Remove the tag temporarily if you need to preview the block.

</details>

<details>

<summary>A customer cannot open the dashboard</summary>

* Check whether the customer has the required tag.
* Clear **Customer eligibility tag** if the dashboard should be available to all eligible customers.

</details>

<details>

<summary>Customers go straight to checkout when they should submit for review</summary>

* If the customer belongs to a company, check the company's **Order submission** setting: it always wins, even when the metafield is set.
* If the customer has no company, open their Shopify customer profile and check the **Roadmap: Use Draft Order** metafield. It must be `True`; `False` or blank means checkout.

</details>

<details>

<summary>The notes field does not appear</summary>

* Turn on **Show notes field**.
* Add a value in **Notes field label** if you want custom text.

</details>

<details>

<summary>The PO number does not appear in the quotes list</summary>

* Turn on **Show the PO number in the quotes list**.
* The customer must be on a B2B account; the field doesn't apply to customers without a company.

</details>

#### Frequently asked questions

<details>

<summary>Which takes precedence, the company setting or the metafield?</summary>

The company setting, always. The Roadmap: Use Draft Order metafield only applies to customers who aren't attached to a Shopify B2B company.

</details>

<details>

<summary>Where did the source picker go?</summary>

Earlier versions had a Trade Settings option choosing between the customer metafield and company settings. That picker has been removed: Roadmap now checks the company first and falls back to the metafield automatically.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://docs.roadmap.so/trade-and-b2b/overview-of-trade-dashboard/configure-trade-dashboard-access-and-quote-builder.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
